WRITING EMAILS

Being professional when writing emails is crucial along with being polite, accurate and to the point.

Our clients are extremely busy people and receive hundreds of emails per day.  They need to easily spot your email, with information in the subject header, that clearly explains what the subject is about.  Make it super easy for your client to respond to your questions.  Always be mindful if the question is urgent, to send a text message to the client to catch their attention.

Once you’ve read the examples from the above link, you need to provide a response to this email scenario below.  The response email is to the equipment company.

Lay out your answer on a Word document, showing the question and your answer underneath. Then send your Word document to tracey@virtual-administration.com.

I’ve had a long conversation with Mrs G, Sally’s mum following my physio treatment visit this morning.  Mrs G is very unhappy with the colour of the velvet padding on the standing frame for her daughter.  I totally agree with her, it’s the equipment companies fault.  Due to the huge expense on this piece of rehabilitation equipment for her daughter and the specific request for the velvet padding to be purple, which it has turned up as red, can you go back to the equipment company, find out who placed the order and what the process would be to change the red ones to the purple velvet paddings and have them delivered directly to Mrs G’s home address.  No cost to Mrs G either, the equipment company can pay for their own error.  If the equipment company says they can’t do this for free, explain I was at the demo visit with Mrs G and her daughter and clearly remember them stating they wanted the velvet padding in purple and that the Rep noted this down.
